Comparative analysis of digital project management tools: smart analytics as a selection criterion

Abstract

The article develops and tests a method for smart-analytical assessment of digital project management tools as a basis for supporting managerial decisions when selecting a PM platform under digital transformation conditions. The purpose of the study is to compare seven widely used PM tools, namely Jira, Asana, Monday.com, ClickUp, Trello, Notion and MS Project, by their capacity to support data-driven project management. The methodology is based on the Weighted Sum Model applied to seven criteria of smart-analytical capability: analytics and reporting, AI functionality, data visualization, predictive analytics, integrations, metric customization and real-time monitoring. The stability of the results is tested through sensitivity analysis under four weighting scenarios and additionally verified by TOPSIS. The findings show a substantial differentiation of PM tools by smart-analytical capabilities, with WSM scores ranging from 2.40 to 4.70. Three groups of platforms are identified: powerful tools, balanced tools and basic tools. The rankings obtained by WSM and TOPSIS coincide, indicating the internal consistency of the proposed assessment procedure. The practical value of the study lies in offering organizations a reproducible basis for selecting project management software according to the analytical needs of teams, business scale and project complexity. The originality of the study consists in treating smart-analytical capability as an independent criterion for choosing PM platforms and combining WSM, scenario sensitivity analysis and TOPSIS within one evaluation framework.
